Welcome to Hostory! This guide will walk you through every step of creating and managing successful events.

Sign Up Process

Creating Your Account
  1. 1.Visit the Hostory homepage and click "Sign Up"
  2. 2.Enter your email address and create a strong password
  3. 3.Check your email inbox for a verification email from Hostory
  4. 4.Click the verification link in the email to confirm your account
  5. 5.Log in to access your personal Host Dashboard
Pro Tip
Use a strong password with at least 8 characters, including uppercase letters, lowercase letters, and numbers. Keep your login credentials secure as they protect all your event data and guest information.

After logging in, you'll arrive at your Host Dashboard - your command center for all event management activities.

Unlock Code Request

What Are Unlock Codes?

Unlock codes are required to create events on paid plans. They unlock premium features like higher guest limits, advanced analytics, and priority support.

How to Request an Unlock Code

  1. 1.Navigate to the unlock code request page (link in dashboard or event creation)
  2. 2.Fill out the request form with your name, email, and event details
  3. 3.Specify the plan tier you need (based on expected guest count)
  4. 4.Optionally add an affiliate code if you were referred by another host
  5. 5.Submit the request and wait for approval email (usually within 24-48 hours)
  6. 6.Once approved, you'll receive an email with your unlock code in format: UNLOCK-ABC123
⚠️Important
Each unlock code can only be used once for one event. If you're planning multiple events, you'll need to request separate unlock codes for each paid event.

Unlock Code Format

Unlock codes follow this format: UNLOCK-ABC123

Always include the "UNLOCK-" prefix followed by 6 alphanumeric characters.

Creating Your Event

Our 5-step guided process makes event creation simple and comprehensive. Each step is automatically saved as you go.

Step 1: Event Basics

Foundation of Your Event

This step captures the essential details that define your event. All fields marked with an asterisk (*) are required.

Event Name *
Purpose: The title of your event that appears everywhere
Where it appears: Guest invitations, email headers, event page title, dashboard listings
Tips: Keep it clear, descriptive, and engaging. Avoid abbreviations that guests might not understand.
Example: Sarah's 30th Birthday Celebration or Johnson Family Reunion 2026
Event Description *
Purpose: Detailed information about your event including dress code, theme, special instructions
Where it appears: Guest event page, RSVP page, confirmation emails
Tips: Include dress code, parking instructions, what to bring, and any special themes or requirements.
Example: Join us for an elegant evening celebration! Dress code: Semi-formal. Parking available in the north lot. Please bring a wrapped gift if attending.
Event Date *
Purpose: The calendar date when your event takes place
Where it appears: All emails, invitations, calendar invites, RSVP page
Tips: Choose carefully - this determines when check-in becomes available and when RSVP deadlines are calculated.
Event Time *
Purpose: When the main event activities begin
Where it appears: All communications with guests, event page
Tips: This is when festivities start, not necessarily when guests should arrive.
Example: 7:00 PM for a dinner party starting at 7 PM
Event Start Time (Optional)
Purpose: When guests should arrive (if different from event time)
Where it appears: Guest invitations, event page
Tips: Use this if you want guests to arrive before the main event begins. For example, cocktail hour before dinner.
Example: 6:30 PM if you want guests to arrive for cocktails before 7:00 PM dinner
Event End Time (Optional)
Purpose: When the event concludes and guests should depart
Where it appears: Event page, helps guests plan their evening
Tips: Helps guests with scheduling and transportation planning.
Example: 11:00 PM for an evening event
Event End Date (Optional)
Purpose: Defines how long QR codes and check-in remain valid
Where it appears: System uses this to automatically disable check-in and invalidate QR codes
Tips: Important for multi-day events or if you want check-in available for extended periods. Default is 24 hours after event time.
Example: Next day at noon for an event ending late night
⚠️QR Code Validity
Guest QR codes automatically become invalid after the Event End Date/Time. This is a security feature to prevent unauthorized late check-ins. For multi-day events, set the end date to the last day.
Event Location *
Purpose: Full address where the event takes place
Where it appears: All guest communications, interactive map on event page, navigation links
Tips: Include full street address with city and postcode. The more complete, the better for GPS navigation.
Example: 123 Main Street, Grand Ballroom, London, SW1A 1AA
RSVP Deadline Date (Optional)
Purpose: Last date guests can submit or change their RSVP
Where it appears: RSVP page (shows countdown), prevents late RSVPs after deadline
Tips: Give yourself time to finalize catering and seating. Typically set 3-7 days before event.
Example: 7 days before event date for final headcount
RSVP Deadline Time (Optional)
Purpose: Specific time on deadline date when RSVPs close
Where it appears: Combined with deadline date for precise cutoff
Tips: Set to end of business day or midnight for convenience.
Example: 11:59 PM on the deadline date
If no RSVP deadline is set, the system automatically closes RSVPs 24 hours before the event starts. This ensures you have time to finalize arrangements.

Step 2: Visuals & Branding

Make Your Event Visually Appealing

Images significantly increase engagement and help guests remember your event. All uploads are optional but highly recommended.

Event Banner Image (Recommended)
Purpose: Primary visual that represents your event
Where it appears: Email headers, event page hero section, social media shares
Tips: Use 16:9 aspect ratio (e.g., 1920x1080px). Keep file size under 5MB. Choose high-quality images that reflect your event theme.
Example: Birthday party banner, wedding venue photo, corporate event logo
Host Photo (Optional)
Purpose: Your photo or organization logo
Where it appears: Event page sidebar, about host section
Tips: Use a professional headshot or company logo. Square images work best (e.g., 500x500px).
Event Gallery (Optional)
Purpose: Additional photos showcasing venue, past events, or theme inspiration
Where it appears: Event gallery section on guest page
Tips: Upload up to 10 images per batch. You can upload multiple times. Guests can add their own photos during the event.
Image Best Practices
  • • Use high-resolution images (but compress to under 5MB)
  • • Banner images: 1920x1080px or 16:9 ratio
  • • Profile photos: Square format (500x500px)
  • • Supported formats: JPG, PNG, WebP
  • • Choose images that represent your event's mood and theme

Step 3: Host & Operations

Communication & Security Setup

Configure how guests can reach you and who monitors security aspects of your event.

Host Contact Email *
Purpose: Email address where you receive all event-related notifications
Where it appears: You receive RSVP notifications, guest requests, comments, and security alerts here
Tips: Use an email you check regularly. This is critical for staying informed about your event.
Example: Your primary email address
Host Contact Phone (Optional)
Purpose: Phone number guests can use to reach you
Where it appears: Event page contact section, shared with guests
Tips: Only provide if you want guests to be able to call/text you directly. Otherwise leave blank.

Security Monitoring Email Addresses

Add email addresses of security personnel or staff who should receive real-time security alerts.

Security team receives alerts for:
  • • Restricted guest check-in attempts
  • • Guest assistance requests with GPS location
  • • Unusual check-in patterns or anomalies
  • • Daily security summaries
  • • Access to dedicated security dashboard
You can add multiple security monitoring email addresses. Each will receive real-time alerts independently. This is useful for events with security teams or venue staff.

Step 4: Guest Setup & Features

Customize Guest Experience

Choose which features to enable for your guests and how they can interact with your event.

Expected Number of Guests
Purpose: Estimated total attendance for capacity planning
Where it appears: Analytics dashboard, helps with plan selection
Tips: Provide your best estimate. This helps you choose the right pricing plan and doesn't limit actual invitations.

Guest Features (Toggle On/Off)

Allow Additional Guests (Plus-Ones)
When enabled, guests can bring extra people. You set the per-guest limit (e.g., "up to 2 additional guests").
Guest sees: "Bringing anyone? Add up to X additional guests"
Collect Dietary Requirements
Guests can specify dietary restrictions and allergies during RSVP. They can update these anytime before the event.
Guest sees: Form to enter dietary needs during RSVP, can update on their event page
Require ID Verification
For high-security events. Guests must upload ID documents (passport, driver's license) which you review and approve before they can check in.
Guest sees: ID upload form after RSVP, must wait for approval
Enable Comments & Discussions
Creates a comment section on the event page where guests can post messages, ask questions, and reply to each other. You can moderate comments.
Guest sees: Comment thread on event page, can post and reply
Event Memories Gallery
Guests can upload photos during and after the event, creating a collaborative photo album visible to all attendees.
Guest sees: Upload button on event page, gallery of all guest photos

Privacy & Visibility Settings

Make Event Public
When enabled, anyone with the event link can view event details and RSVP without email verification. When disabled, only invited guests can access after email verification.
Use public for open-invitation events, community gatherings, or fundraisers
Share on Hostory Featured Events
After your event completes successfully, it may be featured on Hostory's showcase page (with your permission). This helps promote your future events or business.
Great for professional hosts, venues, or organizations wanting visibility

Step 5: Review & Plan Selection

Final Review & Publishing

Review all your settings, choose your pricing plan, and publish your event.

Event Summary

This page shows a complete summary of your event with all settings, enabled features (marked with green checkmarks), and uploaded images. Review carefully before proceeding.

Free Plan
Limited guest capacity, basic features. Perfect for small gatherings. No unlock code required.
Paid Tiers
Higher guest limits (50, 100, 250, 500+), advanced analytics, priority support. Requires unlock code in format UNLOCK-ABC123.
Custom/Enterprise Plan
Unlimited guests, white-label options, dedicated support. Enter specific guest count and unlock code.
💡Unlock Code Requirement
Paid plans require an unlock code. Request one via the unlock code request form (linked on this page). Codes are approved within 24-48 hours and emailed to you in format: UNLOCK-ABC123. Each code can only be used once.

What Happens After You Create Event?

  1. 1.Event is created and published immediately (status: "Published")
  2. 2.System generates unique QR codes and entry codes for you and your guests
  3. 3.You receive "Event Live" email with your host QR code and master access code
  4. 4.Event appears in your dashboard with option to invite guests
  5. 5.You can now manage guests, check-in settings, and event details
Draft Auto-Save
Your progress is automatically saved after Step 1 as a draft. You can safely close your browser and return later - all your work is preserved. Find drafts in your dashboard.

Understanding Emails

Hostory automatically sends 10 different types of emails throughout your event lifecycle. Here's what each one does and what to expect.

Host Emails

These emails are sent to you (the host) to keep you informed about event activities and guest interactions.

Guest Emails

These emails are sent to your guests at various stages of the event journey.

Email Delivery Notes

  • All emails are sent automatically by the system - no manual sending required
  • Emails typically arrive within 1-2 minutes (check spam folder if missing)
  • All emails include unsubscribe option (except critical transactional emails)
  • Emails are mobile-responsive and display correctly on all devices

Understand how QR codes, entry codes, and the check-in station work for smooth event day operations.

QR Codes Explained

What Are QR Codes?

QR codes are unique 2D barcodes generated for each guest and for you (the host). They enable fast, contactless check-in at your event.

How QR Codes Work

  1. 1.Generation: Unique QR code created when guest is added to event
  2. 2.Delivery: QR code sent to guest via email (invitation and resend emails)
  3. 3.Event Day: Guest shows QR code on phone or printed copy
  4. 4.Scanning: Host scans QR with device camera at check-in station
  5. 5.Validation: System verifies guest, checks RSVP status, confirms not already checked in
  6. 6.Check-In: Guest marked as checked in, welcome email sent, entry granted

HOST VIEW

As Host:

  • • You have a master QR code for authenticating check-in station
  • • Found in "Event Live" email and dashboard QR/Codes tab
  • • Use it to unlock check-in station at event start
  • • Keep secure - anyone with this code can access check-in

GUEST VIEW

As Guest:

  • • Each guest has unique QR code
  • • Found in invitation email and resend emails
  • • Show it on phone screen or print it out
  • • Host scans it at check-in station
QR Code Best Practices
  • • Save invitation email to phone or email app for easy access
  • • Increase phone brightness when showing QR code for better scanning
  • • Print QR code as backup if phone battery is concern
  • • Each QR code only works once per event (prevents duplicate check-ins)
  • • QR codes expire after event end date/time for security

Master Access Control

Host Authentication System

The check-in station requires host authentication to prevent unauthorized access. You have two authentication methods.

Session Security

  • 🔒30-Minute Sessions: After authentication, check-in station unlocks for 30 minutes
  • Auto-Lock: Station automatically locks after 30 minutes for security
  • 🔄Re-Authentication: Enter master code/QR again to unlock for another 30 minutes
  • 👥Prevent Unauthorized: Ensures only authorized hosts can check in guests
⚠️Security Best Practice
Keep your master access code and QR code private. Anyone with access to these can check in guests at your event. Do not share publicly or with untrusted individuals.

Check-In Station Setup & Usage

Setting Up Check-In on Event Day

The check-in station is where you process guest arrivals. Set it up at venue entrance for smooth flow.

Before Event Day

  1. 1.Go to Event Management → QR/Entry Codes tab
  2. 2.Download master QR code to your phone (for quick authentication)
  3. 3.Save master access code to phone notes or password manager
  4. 4.Ensure check-in toggle is "Enabled" (automatically activates on event day)
  5. 5.Test scanning with a guest QR preview (don't actually check in)

On Event Day

  1. 1.Set up check-in device (phone/tablet/laptop) at venue entrance
  2. 2.Open check-in station from Event Management dashboard
  3. 3.Enter master access code OR scan master QR code
  4. 4.System unlocks for 30 minutes - timer visible on screen
  5. 5.Ready to scan guest QR codes or enter entry codes

During Check-In

Guest Arrives with QR Code:
  1. 1. Guest shows QR code on phone screen
  2. 2. Scan QR code with device camera
  3. 3. System displays guest details (name, email, RSVP status)
  4. 4. For ID verification events: View and verify ID document
  5. 5. Click "Confirm Check-In" button
  6. 6. Guest receives welcome email, entry granted
  7. 7. Dashboard updates with new check-in count
Guest Provides Entry Code:

Comments & Discussions

Interactive Guest Conversations

When enabled, guests can post comments, ask questions, and reply to each other on the event page.

Moderation Tips
Use the Moderation tab to bulk manage comments. You can delete spam, flag inappropriate content, and respond to multiple comments efficiently. Comments help build community among guests before the event!

ID Verification System

Enhanced Security for High-Stakes Events

For events requiring extra security, guests must upload government ID documents which you review before allowing check-in.

When to Use ID Verification

  • • Corporate events with restricted access
  • • High-security venues or facilities
  • • Events with age restrictions (21+, 18+)
  • • Events with valuable giveaways or prizes
  • • VIP or exclusive gatherings

ID Verification Workflow

Step 1: Guest RSVP

Guest RSVPs as normal, sees notice that ID verification required

Step 2: ID Upload

Guest uploads photo of government ID (passport, driver's license, national ID card)

Step 3: Host Review

You review ID in "ID Review" tab, verify photo quality and information is readable

Step 4: Approval/Rejection

Approve if valid, or reject with reason (blurry photo, expired ID, name mismatch)

Step 5: Check-In Day

At check-in, verify physical ID matches uploaded document before confirming entry

⚠️Privacy & Security
ID documents are stored securely and encrypted. Only you (the host) can view them. They are automatically deleted 7 days after event completion. Always comply with data protection regulations in your jurisdiction.

Guests can send assistance requests during the event, including their GPS location for emergencies.

Setting Up Security Monitoring

Best Practice
For large events or events at venues with security teams, add venue security email addresses. They'll receive real-time alerts without needing dashboard access. Perfect for coordinating with on-site security personnel.

How Guests Check Their Invites

Finding Invitations

Guests receive invitations via email. They can also check invitation status on your website.

Method 1: Via Email

  1. 1. Guest receives "Guest RSVP Email" in their inbox
  2. 2. Email contains event details and RSVP button
  3. 3. Guest clicks "RSVP Now" to respond
  4. 4. If email missing, check spam/junk folder

Method 2: Check My Invite Page

  1. 1. Guest visits "Check My Invite" page on Hostory website
  2. 2. Enters their email address
  3. 3. System sends OTP code to verify email
  4. 4. Guest enters OTP to view their invitations
  5. 5. List of all their pending/accepted invitations displayed
If a guest claims they didn't receive an invitation, you can resend it from the Event Management dashboard → Guests tab → "Resend Invitation" button next to their name.

RSVP Journey (Guest Perspective)

Step-by-Step RSVP Process

Guests follow a secure, guided process to RSVP. Here's exactly what they experience.

Step 1: Receive Invitation Email

Guest sees: Email with event banner, name, date, time, location

Guest does: Opens email, reads event details

Next step: Clicks "RSVP Now" button

Step 2: Email Verification (OTP)

Guest sees: Page asking to verify email ownership

System does: Automatically sends 6-digit OTP code to their email

Guest does: Checks email, enters OTP code

Why: Prevents unauthorized RSVPs from someone else

⚠️RSVP Deadline
If you set an RSVP deadline, guests cannot submit or change their RSVP after the deadline passes. If no deadline is set, RSVPs automatically close 24 hours before event start time.

Each guest gets a personalized event page with tabs for different features. Access remains for 7 days post-event.

Guest page access is controlled by unique token. Each guest has their own personalized URL. For private events, guests must verify email with OTP before accessing the page.

Guest Didn't Receive Invitation Email

Can I edit event details after publishing?

Yes! You can edit any event detail at any time from the Event Management dashboard. Click "Edit Event" button, make changes, and save. All invited guests will receive an "Event Updated" email notification automatically.

How do I add more guests after event is published?

Go to Event Management → Guests tab → Click "Add Guest" button. Enter guest details (name, email, phone). System automatically generates QR code and entry code, then sends invitation email. You can add guests anytime before or during the event.

Can guests RSVP without email verification?

Only if you make the event "Public" in Step 4 of event creation. Public events allow anyone with the link to RSVP without OTP verification. Private events (default) require OTP to prevent unauthorized RSVPs.

What happens if a guest loses their QR code?

No problem! You can resend their QR code from Guests tab → Click "Resend QR" button. They'll receive a fresh copy via email. Alternatively, they can use their 5-digit entry code as backup (also in invitation email).

Can the same QR code be scanned twice?

No. QR codes can only be used once per event. If scanned twice, system shows "Already checked in at [timestamp]" and blocks duplicate check-in. This prevents fraud and accidental re-scanning.

How long do QR codes remain valid?

QR codes are valid from event start time until Event End Date/Time (set in Step 1). If no end date set, codes expire 24 hours after event start. After expiration, codes become invalid for security.

Can I delete a published event?

Yes, but carefully. Go to Event Management → Settings → "Delete Event" (at bottom). All guest data, QR codes, and analytics will be permanently deleted. Guests will no longer be able to access the event page. Use "Cancel Event" instead if you want to preserve data.

What devices work for check-in scanning?

Any device with a camera and web browser: smartphones (iOS/Android), tablets (iPad, Android), laptops with webcams. Desktop computers with USB webcams also work. Recommend using phone/tablet for mobility at check-in station.

Can multiple people manage the same event?

Currently, events are tied to the host account that created them. You can share your login credentials with trusted team members, or use multiple check-in devices logged into the same account. Team management features coming soon!

Do guests need to create an account?

No! Guests never need to create a Hostory account. They access everything via unique tokens in their invitation emails. Only you (the host) need an account to create and manage events.
